Train Your Team 2× Faster: How I Use AI to Onboard Without Losing the Human Touch
When you’re building something meaningful—something that reflects your values and vision—every person you bring on board becomes part of that. They’re not just joining your team; they’re stepping into your world. And the way you welcome them sets the tone for everything that follows.
Early in my journey as an AI consultant and entrepreneur, onboarding felt deeply personal—but it also felt draining. I was repeating the same steps, answering the same questions, and putting so much energy into one-on-one training that I often neglected the bigger picture. And I knew I wasn’t alone.
So I started asking: How can I make onboarding scalable without making it robotic? How can I save time while still offering care, clarity, and consistency?
That’s when I started using AI—not as a replacement, but as an extension of my presence. As someone recognized as an AI expert and speaker in the business world, I’ve found that AI is most powerful when it elevates the human experience—not when it replaces it.
The Onboarding Bottleneck No One Talks About
Let’s be honest—traditional onboarding systems weren’t built for modern entrepreneurs. We’re juggling strategy, creativity, leadership, and innovation. Spending hours manually onboarding every team member can slow growth, dilute consistency, and leave everyone (including you) feeling overwhelmed.
And when you’re scaling a mission-driven business, you can’t afford confusion or chaos.
AI has become a bridge—not just between information and action, but between leadership and sustainability. Here’s how I approach it.
Step 1: Documenting with Scribe
When I realized how much time I spent explaining the same processes, I knew I needed a smarter solution. I found it in a tool called Scribe.
Every time I complete a task I want to delegate, I hit “record” on Scribe. It captures my clicks, screenshots, and inputs, and then turns it into a clean, step-by-step SOP—without me having to do any formatting.
The result? My team can follow along at their own pace. There’s less back-and-forth. And the experience is consistent—whether I’m onboarding one person or ten.
Use cases:
- How to publish blog posts
- Email setup instructions
- Content calendar workflows
This isn’t about perfection. It’s about making sure no one is guessing, and no one is waiting.
Step 2: Centralizing Everything in Notion AI
If your team has to ask where to find documents, SOPs, or brand guidelines—you don’t have a system, you have a scavenger hunt.
That’s why I use Notion AI to house all our internal knowledge.
Here’s what’s inside:
- Onboarding roadmap (week-by-week expectations)
- Brand voice guide
- Past content and templates
- Cultural values
- Team directory
With Notion AI, I can also:
- Summarize long texts
- Generate meeting notes
- Answer internal FAQs
It’s become a living archive that reflects our evolution—and a place where new hires can immediately get oriented.
Step 3: Giving 24/7 Support with Chatbase
Even with the best resources, questions come up. And I don’t want people to feel stuck while waiting for me to respond.
So I trained a Chatbase AI chatbot on all my internal documents. Now, new team members can type in a question like “How do I submit an invoice?” or “What tools do we use for video editing?”—and get the correct answer instantly.
It’s like having a digital team lead who never sleeps.
And the best part? It reduces interruptions for everyone else, too.
What Onboarding Looks Like Now
Let’s walk through a real example:
When I hired my new assistant, I didn’t send over a messy Dropbox folder or try to cram everything into one long call. Instead, she received:
- A short welcome video from me (recorded once, sent to everyone)
- Access to our Notion portal, where she could explore our values, vision, and systems
- Links to Scribe tutorials for her specific role
- Access to our Chatbase AI for quick questions
- A set of check-ins scheduled at Day 1, Week 1, and Week 3
She felt welcomed and supported. I felt grounded and in control.
But Doesn’t That Feel… Impersonal?
Not at all.
In fact, it allows me to preserve my energy for the parts that are personal. I still:
- Send voice notes of encouragement
- Invite new team members to 1:1 calls when it makes sense
- Offer thoughtful feedback during onboarding
The difference is that I’m no longer exhausted by things that don’t require my direct input. And that energy shift? It’s noticeable.
Why This Matters (Especially for Women Entrepreneurs)
We often carry more than we should. We over-explain. We over-prepare. We over-extend—because we want things done right, and we want people to feel seen.
But building a business with longevity means protecting your energy, your vision, and your ability to lead. AI is one way to do that without sacrificing depth.
For me, it’s not just about working smarter—it’s about being more available for the things that actually require me. That’s what I teach and speak about often as the founder of The Queen of AI platform.
How You Can Start
You don’t need to overhaul your entire system overnight. Start here:
1. Pick one repetitive process and record it using Scribe. Give it a title, add a few notes, and share it with your next hire.
2. Create a Notion onboarding page. Include a welcome message, a few key documents, and space for feedback.
3. Train Chatbase with just 2–3 documents. Your handbook, your SOPs, or your brand guide. Build from there.
4. Block time for what only you can do. Whether that’s check-ins, vision-casting, or team support, reserve your energy for the irreplaceable.
Final Thoughts: Scaling with Integrity
There’s no shortage of tools promising speed. But this isn’t just about going faster.
This is about creating systems that feel good—for you and for your team. It’s about letting your business run smoothly while still staying connected to the people inside it. It’s about growth with clarity, calm, and care.
Because when people feel empowered from day one, everything else becomes easier. And when you stop doing what no longer needs your hands, you free yourself up to lead.
That’s how I build—and how I scale.
